About the Role

The Legal Operations & Project Officer plays a key role in supporting the Legal & Compliance team by providing high quality administrative and operational assistance. The role is fundamental to the effective delivery of legal services across the University, acting as a central point of contact within the team for internal and external stakeholders.

With a focus on efficiency and attention to detail, the role supports the team with day-to-day administrative functions. In particular, it is responsible for managing the legal intake process and the corresponding matter management system. The role also supports the Head of Operations with business improvement initiatives.

The role reports to the Head of Operations and will work collaboratively with the Administrative Assistant as well as other key colleagues within the University.

Key responsibilities include:

  • Provide strong administrative support to the Legal & Compliance team.
  • Coordinate and support relevant business improvement activities and projects.
  • Develop and maintain detailed filing systems, spreadsheets, databases and conduct relevant training.
  • Managing enquiries from internal and external stakeholders through the Legal & Compliance inbox and initiating matters in the matter management system.
  • Undertake financial administrative tasks for the Legal & Compliance team.
  • Develop and maintain a collaborative and highly effective working relationship with Legal & Compliance team members and other colleagues.

Skills and experience required include:

  • Relevant qualifications with subsequent relevant experience or equivalent level of knowledge gained through any other combination of education, training and/or experience.
  • Demonstrated administrative experience in a tertiary institution or similar environment; preferably complemented by previous experience in a legal secretarial or paralegal role and familiarity with legal processes and procedures.
  • Strong communication, client service and interpersonal skills to enable professional interaction with a range of people, including internal clients and representatives from other organisations.
  • Demonstrated personal integrity and professional commitment, and the ability to deal with confidential matters with discretion.
  • Demonstrated ability to work effectively autonomously and as part of a team on multiple tasks, meet deadlines, manage time and ensure targeted outcomes.
  • High proficiency of computer literacy, working with a range of computer systems and applications, including Microsoft Office 365 suite including Teams, One Drive, Excel, Word, PowerPoint, One Note, SharePoint and Outlook and once recruited, with using UNSW’s enterprise systems.
  • Willingness to learn and adopt new technologies, such as workflow and automation systems, contract management systems, document management systems and matter management systems.
  • Demonstrated experience and ability in drafting correspondence, simple legal documents, presentations and similar material.
