Position Summary:

The Executive Assistant plays a key role within the Business School in providing high-level executive support to multiple members of the Senior Management Team with reference to and interpretation of UNSW policies and procedures. The role entails responding to complex enquiries using judgment and initiative while using considerable technical skills and discretion when making decisions. This role will be reporting into the SDD Impact and Partnerships and the Faculty Academic Chair. The focus of the role is to support the Business School in achieving its strategic objectives and has no direct reports.


Accountabilities:

  • Proactively provide high-level executive support and assistance, whilst exercising discretion, initiative and confidentiality always.
  • Act as the first point of contact for internal and external stakeholders, maintaining effective channels of communication, interpreting requests and correspondence, and prioritising urgent and often sensitive matters on behalf of members of the SDD Impact and Partnerships and the Faculty Academic Chair.
  • Undertake diary, email and document management, including the monitoring and prioritising of emails and assisting with the preparation of correspondence.
  • Use superior interpersonal communication skills to initiate and maintain executive stakeholder relationships.
  • Facilitate and plan meetings, including compiling agendas and other documents, preparing minutes and following up on allocated or outstanding meeting tasks.
  • Provide advice on the interpretation of UNSW Policies and Procedures and apply to all activities as appropriate.
  • Manage, coordinate and plan multiple faculty-level committees including arranging agendas, papers, minutes and actions.
  • Undertake ad-hoc projects aligned with the Business School
  • Provide business support to other members of the SMT and backfill reception during periods of leave.

Skills and Experience:

To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Strong written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • High-level organisational skills with proven ability to deal with multiple tasks, establish priorities and meet deadlines.
  • Excellent interpersonal skills with the ability to liaise effectively with all levels of staff and external stakeholders.
  • Project-management skills and demonstrated ability to work independently as well as in project teams.
  • Experience in handling sensitive and confidential matters and demonstrated ability to exercise good judgment in decision-making and referral of matters to senior management as appropriate
  • Advanced level of computer literacy, working with a range of computer systems and applications, including highly proficient in the Microsoft Suite of programs.
  • Superior time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
  • Proven organisational skills and the ability to operate autonomously while demonstrating strong initiative and a proactive approach to driving process improvement.
