The Residential Administrator plays a critical role within the Pro Vice-Chancellor, Student Success portfolio, supporting UNSW Student Accommodation in delivering an outstanding residential experience for students across the UNSW Colleges, Apartments, and Short Stay Accommodation.

This role provides efficient and effective reception and general administrative support, acting as a key point of contact for residential students, staff, and external stakeholders. You will contribute to a welcoming, well-organised, and responsive accommodation environment that enhances the overall student experience.

As the first point of contact, the Residential Administrator responds to a wide range of enquiries, conducts room inspections, processes room allocations, refunds, and invoices, assists with debt recovery, and coordinates contractors and cleaning services. Front desk reception duties form a core part of the role, alongside daily administrative and operational tasks.

Responsibilities include:

  • Provide administrative support across a broad range of activities, including answering and triaging telephone, email, and in-person enquiries; room allocations and inspections; remediation identification; data entry and reporting; event and catering support; and coordination of cleaners and contractors
  • Assist the Finance Officer, Accommodation with financial administration processes, including processing refunds, invoice payments, rebates, and debt recovery
  • Apply sound knowledge of student accommodation and complementary support services to respond to internal and external enquiries in a timely, professional, and confidential manner, including off-campus accommodation enquiries
  • Liaise with relevant stakeholders to resolve basic facilities issues by coordinating contractor access, cleaning, and maintenance, and escalate issues of concern to ensure a clean and safe environment for students and staff
  • Organise work effectively to meet deadlines, contribute to a cooperative team environment, and maintain positive internal and external working relationships
  • Maintain accurate records in accordance with University policies and practices, including creating and updating documentation and reports using StarRez and other systems
  • Build and maintain productive working relationships with UNSW Colleges, the Accommodation team, Portfolio Office staff, and other internal and external stakeholders to support accommodation operations and peer support programs
  • Contribute to the maintenance of UNSW Student Accommodation platforms and websites to ensure information remains accurate, current, and consistent
  • Support regular reporting, data entry, and tracking of operational activities and services

About You

You are someone with great time management, who is organised, customer-centric and also comes with:

  • Demonstrated customer service and administrative experience, ideally within a higher education environment
  • Experience working in university accommodation is highly desirable, along with an understanding of residential life programs, student engagement activities, marketing and communications, and university support services
  • Ability to work independently and collaboratively as part of a team, exercising sound judgement to resolve issues and deliver high-quality support
  • Strong attention to detail with the ability to work accurately and manage competing priorities
  • Experience managing invoice payments and purchases is desirable
  • Willingness to work flexible hours and across different student residences as required
  • Excellent interpersonal, written, and verbal communication skills, with the ability to engage effectively with people from diverse backgrounds and cultures
  • Proficiency in Microsoft Office 365 applications and databases; experience with StarRez is advantageous
  • A valid Working With Children Check (WWCC) and Police Check (mandatory for this role)

The role is 5 days a week based on campus, Monday to Friday. Working hours are either 8AM to 4PM, or 10AM to 6PM – you will be rotating with another member of the team. There is no weekend or evening work.

Expected start date is in the new year, with an end date end of January 2027.
