Why Your Role Matters 

The Administrator, Student Records provides effective day-to-day administrative support within the Student Lifecycle team to ensure all services are provided efficiently to meet the operating needs of Student Services and Systems within the Division of the Deputy Vice Chancellor Academic. Working as part of the Student Lifecycle team, this position is responsible for undertaking a range of high quality, customer focused, core business processes and communications, to assist with the management and effective delivery of all student record processes and initiatives.  

The role reports to the Manager, Student Records, supporting the Head of the Student Lifecycle and has no direct reports. The is permanent, 21 hours a week.

Main responsibilities Summary 

  • Be the contact for and have responsibility for all aspects of maintaining undergraduate, postgraduate coursework and non-award student academic records for one or more Faculties 

  • Provide advice to staff and students on policies and procedures relating to the student lifecycle 

  • Provide verification of qualifications to third parties and produce academic transcripts on request for current and past students 

  • Provide high level administrative support to the Graduations & Prizes team and other teams within Student Lifecycle 

  • Provide effective specialist advice relating to administrative guidelines, processes, policy and activities 

  • Develop and maintain detailed filing systems, spreadsheets, databases, websites and other administrative systems 

  • Participate in relevant projects and business improvement activities to streamline processes and facilitate administrative efficiency 

Who You Are 

We are looking for someone who is aligned with UNSW’s vision and values and comes with: 

  • Demonstrated previous experience in an administrative role and providing effective customer service and support to clients at all levels. Previous experience in higher education will be highly desirable 

  • Advanced time management, organisational and problem-solving skills, including the ability to meet deadlines 

  • Well-developed interpersonal and written and verbal communication skills 

  • Highly proficient computer literacy with excellent skills in Microsoft Office applications 

  • Ability to make sound judgements and work both independently and as part of a team 

  • Proven ability to work in a high volume whilst maintaining a high attention to detail, process driven, administrative environment with variable workflow patterns 

  • Demonstrated ability to effectively solve problem/enquiries and work with limited supervision 

Working hours days are flexible – they could be spread across five days or done within 3 days. We expect the successful candidate to work two days on campus and the last day from home.  

Candidates will need to have ongoing working rights – this role is not available for sponsorship.
