This role will:

• Provide high level administrative support.

• Coordinate, prepare and disseminate meeting agendas and papers, minutes, action points and other necessary meeting and committee documentation, providing support as required to ensure timely completion of action items.

• Provide highly specialised advice relating to administrative processes.

• Monitor the volume of administrative tasks and prioritise tasks among other administrators to ensure a high level of administrative support is maintained.

• Ensure the Working Unit consistently applies relevant policies, guidelines and procedures.

• Review and monitor administration requests such as purchasing, travel, credit card reconciliation, expense reimbursements, payment requests and billing processes.

• Plan, coordinate, oversee and provide support in the organisation of all aspects of delegations and events including booking venues, RSVP, organising catering, managing schedules, ensuring resources are provided within budgetary restraint and attending relevant events as required. Manage hospitality and liaison, pre-empt and accommodate the needs of guests.

• Provide fundamental translation and interpreting services.

• Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.

A person engaged is generally expected to have the following skills and experience:

• Relevant qualification with significant administrative work experience.

• Excellent attention to detail and organisation skills

• Advanced level of skills in Microsoft Office software and other applications/databases.

• Strong communication skills in both Mandarin and English.

• Demonstrated experiences with Calumo, NSF and Drupal would be highly preferred.
