Why your role matters
The Program Officer, Exchange plays a key role within the Learning Abroad team in the Office of Global Affairs, providing practical and efficient program support to the Exchange team, students and key stakeholders. The position supports the delivery of inbound and outbound Exchange Programs and contributes to the smooth coordination of exchange activities across the University.
The role is responsible for program coordination, student advising, reporting and analytical support, communications, relationship management with key internal and external partners, and the provision of administrative support for priority programs and projects. Through these activities, the Program Officer, Exchange contributes to the success of Learning Abroad students and supports the enhancement of the broader UNSW student experience.
The position reports to the Lead, Exchange and does not have direct reports.
Specific accountabilities include:
- Coordinate the delivery of programs, projects, events, and initiatives including student advice and support for designated regions, communications, promotion, monitoring progress and deliverables, in alignment with time, cost and quality metrics.
- Coordinate initiatives to support and engage students by working closely with internal and external stakeholders.
- Develop, foster, and maintain highly effective working relationships with staff and teams in the portfolio, faculties and divisions and other internal and external stakeholders.
About You:
- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Demonstrated experience providing effective customer service and support to clients at all levels and sound stakeholder management skills, with the ability to liaise effectively with a range of stakeholders.
- Understanding of the opportunities and challenges tertiary students may encounter and how this role can positively contribute to enhancing those opportunities or alleviate some of the challenges.
- Advanced written and verbal communication skills, with a high level of attention to detail for deliverables produced.
- Demonstrated success working effectively and collaboratively on initiatives with a range of people at different levels within an organisation.
- Advanced level of computer literacy with experience working with a range of computer systems and applications, including MS Office (in particular excel, word, office), Peoplesoft, databases, email and other internet-based systems.
- Excellent organisational and time management skills, accuracy, and attention to detail, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
- Demonstrated experience in event/project/program coordination with an understanding of the project life cycle and development of project plans and objectives including managing logistics, promotions, communications documentation and reporting.
- Demonstrated ability to work collaboratively and productively within a team, but also to take initiative and work efficiently and independently to identify, analyse and resolve administrative issues ensuring effective outcomes and process improvements.
