Why your role matters

An Executive Officer is a key contributor within the Enterprise Data Office (EDO), offering high-level support to the Chief Data Officer. This role involves advising on suitable governance frameworks to enable sound decision-making and ensuring alignment with UNSW compliance standards. The Executive Officer plays an important part in both strategic and operational initiatives across the EDO and broader UNSW, helping drive the achievement of Enterprise Data objectives.

The position reports to the Chief Data Officer and does not oversee any direct reports.

Responsibilities

  • Proactively advise, influence and contribute to the business planning and objectives of the EDO, whilst exercising discretion, initiative and confidentiality at all times.
  • Initiate, advise and implement management policies and procedures that support and maintain networks, links and relationships, ensuring appropriate governance is followed in line with University policies.
  • Support the Chief Data Officer and the EDO Leadership to manage and deliver strategic and operational goals through the provision of research support, strategic advice, project management and the development of policies, procedures and proposals.
  • Use superior interpersonal communication skills to anticipate the requirements of the Chief Data Officer to maintain executive stakeholder relationships, while exercising discretion and confidentiality.
  • Coordinate and/or develop documentation e.g. presentations, board papers, business unit papers for Chief Data Officer as required.
  • Provide administrative support for budget management and human resources coordination, including assisting with financial tracking, expense reporting, staffing processes, and related communications.
  • Undertake ad-hoc projects aligned with the EDO and Division Operations as required.
  • Develop and maintain networks and relationships with stakeholders and key staff within Division Operations and across the University.
  • Ensure the planning for, and follow up of team meetings, special events, away days, social events, volunteering activities are organised to a high standard and all preparation documents are distributed beforehand in a timely manner.
  • Manage key EDO initiatives, e.g. reward and recognition system, lead implementation of the UNSW EDO Health and Safety Plan, and Implement the Culture, Learning & Development plan for staff

Skills and Experience

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Advanced written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • Proven experience in project management in higher education or equivalent level of knowledge gained through education/training and/or experience.
  • High level organisational skills with proven ability to deal with multiple tasks, establish priorities and meet deadlines. • Proven organisational skills and the ability to operate autonomously while demonstrating strong initiative and a proactive approach to driving process improvement.
  • Ability to liaise effectively with all levels of staff and external stakeholders.
  • Advanced level of computer literacy, working with a range of computer systems and applications, including the Microsoft Office suite of applications.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
