Facilities Management (FM) sits within Estate Management (EM) and handles operational support for building maintenance, facilities management, repairs, and upgrades. FM oversees all maintenance services, repairs, and minor works projects for University clients, working closely with Faculties, Schools, and Divisions to keep assets well managed, maintained, and fit for purpose.
The Contract Administrator supports the Manager, Contract Management, handling the contract and financial administration of FM service contracts. The role assists senior management with contract oversight, budgeting, drafting contract documents, preparing variations, and engaging with stakeholders to support scope development and financial management across multiple contracts to maintain the University’s property, buildings, services, and campus infrastructure. The position reports to the Manager, Contract Management, with no direct reports.
About the Role
You will be required to undertake and have experience in the following areas of expertise:
- Provide complex support to the Manager, Contract Management and the Facilities and Building Management teams on a range of contract and financial administrative tasks.
- Maintain an effective contract management system, including contract administration guidelines, policy and procedures, procurement and contract administration templates, statutory records management and reporting in accordance with University policy and legislative requirements.
- Monitor contract performance and compliance in accordance with the contract, contract management plan, risk management plan and University policies and procedures.
- In collaboration with the Facilities and Building Management teams, administer established service contracts to ensure the delivery of outcomes are in line with contract objectives, cost parameters and performance levels.
- Manage the financial aspects of the service contracts, liaising with management personnel and ensuring the deliverables of the contract are completed in a timely and cost-effective manner.
- Manage and maintain registers of insurances and securities for all consultants and contractors.
- Assist with the FM procurement and evaluation processes in accordance with University policy and legislative requirements.
- Oversee contractor and service provider transitions in and out of contracts.
- Assist with the preparation, development and submission of annual budgets and cost estimates.
- Partner with the Manager, Contract Management to evaluate contract terms and conditions and their implications, identifying areas of concern and propose alternative solutions.
- Provide complex support with contract enquiries, issues, disputes, variations, risks, WHS etc.
- Establish and maintain professional relationships with internal and external stakeholders, including senior managers, academic and professional staff, contract service providers, suppliers, consultants, works contractors and sub-contractors and project partners.
- Work closely with management to fully understand targets and commitments and provide proactive support for these commitments.
About You
- Relevant tertiary qualifications with substantial relevant experience in contract administration and financial management in facilities management.
- Demonstrated experience in contract administration, performance tracking, financial reconciliations, variations management, contract risk assessment, analysis and management.
- Experience in project or construction management in the property industry.
- Proven experience with analysis of tender documentation, scope of works, financial and KPIs.
- Excellent organisational skills, including the ability to multitask and meet deadlines.
- High level of computer literacy including financial management systems, CMMS and excel.
- Demonstrated experience in data analysis using excel and reporting tools such as Power BI using data visualisation techniques to create and maintain reports and dashboards.
- Advanced interpersonal skills with demonstrated capacity to establish, build and maintain relationships within a diverse environment.
