Why The Role Matters:

The Administrative Assistant (Reception) is responsible for providing proactive, practical and efficient administrative support to the UNSW Business School and supporting the front office of the Dean’s Unit, delivering an outstanding customer service experience for all visitors and clients. The role reports to the Deputy Faculty Executive Director supporting the UNSW Business School.


Accountabilities:

  • Provide straight-forward administrative/clerical support in UNSW Business School (accepting/arranging deliveries and couriers, ordering and stocking stationery etc.).
  • Act as the first point of contact to the Dean’s Unit, managing enquiries with a high level of customer service and providing a friendly interface and high level of responsiveness for all visitors.
  • Coordinate the Business School’s event spaces to ensure they are functional and utilised effectively, providing proactive support for meetings including technical support for AV systems.
  • Assist with administrative support for events to other staff in the Business School as to ensure meetings, and other external activities are carried out efficiently and to a high standard.
  • Support the onboarding of new Dean’s Unit staff members by coordinating activities including access to relevant systems, training on internal processes and organising relevant induction sessions.
  • Develop and maintain spreadsheets, databases, websites and other administrative systems.
  • Provide general advice relating to administrative guidelines, processes and activities.
  • Assist with drafting agendas, minutes, correspondence, briefing notes, and guidelines for specific committees and meetings.
  • Respond to a range of in-person, telephone and email enquiries from internal and external stakeholders, and initiate, action or escalate as necessary.
  • Arrange, support and promote meetings and small events for internal and external stakeholders including the arrangement of room bookings, catering, equipment and preparation of meeting materials.
  • Undertake induction and new starter process for new staff and visitors including access to systems and building and site orientation.

Skills and Experience: 

To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.

  • Diploma or equivalent combination of qualifications and work experience.
  • Sound organisational skills including ability to prioritise tasks and duties to meet deadlines.
  • Excellent attention to detail and ability to provide effective customer service and support to clients at all levels.
  • Advanced interpersonal, written and oral communication skills.
  • Demonstrated capacity to work effectively in a team, preferably within a customer service environment.
  • Proficient level of computer literacy with advanced skills in Microsoft Office applications.
  • Demonstrated ability in the use and administration of online systems and databases.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
