The Institute of Global Finance at the UNSW Business School organises the annual Australasian Finance and Banking conference held each year in mid-December. We are looking for one Conference Administrative Assistant.

 

The successful candidate will be mainly responsible for the following tasks by working closely with the conference convenor:

  • Processing papers submitted for possible presentation at the conference through a dedicated online platform.
  • Processing online conference registrations
  • Creation of the dedicated conference website
  • Liaising with stakeholders via email
  • Assisting the creation of the conference program
  • Smooth running and management of the conference (i.e. managing technology/equipment, greeting conference participants)
  • Perform routine administrative tasks such as typing, data entry, emails, diary management, filing, photocopying, accepting/arranging deliveries and couriers, room bookings, catering, mail sorting, ordering and stocking stationery and equipment.
  • Maintain filing systems, spreadsheets, databases and websites.
  • Respond to standard enquiries on UNSW administrative practices.
  • Draft agendas, minutes, correspondence, briefing notes, and guidelines for specific committees and meetings.
  • Induct new staff and visitors including arranging access to systems, buildings and site orientation.
  • Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.

 

A person engaged is generally expected to have the following skills and experience:

• Prior administrative work experience.

• Attention to detail and organisation skills.

• Proficient in Microsoft Office software and other online systems.

Required criteria:

  • Highly organised
  • Able to quickly adapt and grasp new concepts.
  • Ability to work autonomously
  • Problem-solving skills
  • Well-developed verbal and written communication
  • Well-developed computer literacy (especially in Word and Excel)
  • Ability to work full-time after exams in November until 20 of December (as attendance is required for the conference)

Ability to commit at least 2 years to the role.

Please note that training will commence upon hiring.

The successful candidate, once in a position to resume full responsibility for the role, can earn a minimum of $7,000 and up to $15,000 or possibly more per year.

In term 1, the workload is minimal (around 5 or less hours a week), in Term 2, the workload is modest (around 10 or less hours a week) and for some weeks of Term 3, the workload is more demanding (around 15 or more hours a week, increasing to full time job after the final exam for Term 3 until 18 December). Students could, ideally, take one course less in Term 3, as this could assist them to balance their workload.

The role is located in UNSW Business School, Kensington campus. However, hours are flexible and all tasks can be done remotely, allowing you to work around your university exams and timetable.
