Why this role matters 

As an Executive Assistant & Project Officer, you will play a pivotal role within UNSW Faculty of Medicine & Health in providing executive support to various Faculty Executive team members, project officer support to Faculty projects and office management support to the Faculty Office.

The role entails responding to complex enquiries using judgement and initiative while using considerable technical and project skills and discretion when making decisions. The role reports to the Executive Officer and has no direct reports.

 

Some key accountabilities required

  • Proactively provide executive support and assistance, including travel arrangements, whilst exercising discretion, initiative and confidentiality at all times.
  • Facilitate and plan meetings, including compiling agendas and other documents, preparing minutes and following up on allocated or outstanding meeting tasks.
  • Interpret, apply and advise on UNSW and faculty guidelines and processes to all activities as appropriate and ensuring appropriate Faculty governance.
  • Support the delivery of Faculty/Division projects and initiatives to achieve operational and strategic goals, through the development of project plans, schedules and participating in process improvement as required.
  • Provide practical and proactive project support and administrative services to Faculty Leadership and other key stakeholders as advised by the Executive Officer.
  • Actively identify, recommend and implement business improvement activities to streamline processes and facilitate administrative efficiency in relation to procedures and systems that impact faculty wide.
  • Review and monitor finance administration requests, including but not limited to, purchasing, travel, credit card reconciliation, expense reimbursements, payment requests and billing processes.

Some key skills required

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Strong written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • High level organisational skills with proven ability to deal with multiple tasks, establish priorities and meet deadlines.
  • Excellent interpersonal skills with ability to liaise effectively with all levels of staff and external stakeholders.
  • Advanced computer literacy, including proficiency in Microsoft Office and the ability to quickly learn and navigate university systems and placement platforms. 
  • Superior time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
  • Proven organisational skills and the ability to operate autonomously while demonstrating strong initiative and a proactive approach to driving process improvement.
