The School of Biological, Earth and Environmental Sciences (BEES) examines the natural environment, including life, from the core of the Earth to its upper atmosphere, deep in time through to the present and modelling towards the future. Research within BEES is clustered within four general thematic areas: Ecology and Evolutionary Biology; Climate Science; Environmental Change, Sustainability and Resources; Paleoenvironments and Earth History. The School of BEES has over 150 academic and professional staff, over 170 research students and 60 honours students.
The Teaching Support Administrative Officer plays a key role in facilitating the efficient functioning of teaching and learning activities within the School of BEES. The role will work closely with the Teaching Support Team, Academic Program Authorities and Course Convenors to support the delivery of undergraduate and postgraduate programs and courses.
About the role
• Level 5 – ($85k – $96k) Level 6 – ($100k - $107k) - plus 17% Superannuation and annual leave loading
• Fixed Term – 12 months
• Full-time (35 hours per week)
The role reports to the School Manager and has no direct reports.
Specific responsibilities for this role include:
LEVEL 5:
- Term Planning and Class Maintenance activities including timetabling and class scheduling, and creation of online Moodle courses as required.
- Monitor enrolments and provide enrolment information to Schools including reporting on class utilisation and forecasting future enrolment numbers to assist Schools with future term planning.
- Responsible for assessment planning, collating exam papers from academics, and coordinating submission of grades in line with School and Faculty procedures and timelines.
- Provide input to and/or produce various marketing materials including websites, study planners and brochures.
- Coordinate all aspects of honours administration including marketing, events, recruitment, applications, enrolment, and assessment processing.
- Undertake the full range of HDR related activities as required by the School.
- Liaise with appropriate stakeholders and contribute to the development, delivery and evaluation of relevant Work Integrated Learning (WIL) programs as required.
- Update the content of the Academic Curriculum Information System, including ensuring the online handbook, course catalogue and the website are accurate as required.
- Coordinate the myExperience survey process for each course.
- Act as a triage point for the School and Tier 3 escalation point, providing high quality customer service to prospective and enrolled students and staff and ensure the effective management and resolution of escalated matters from the Student Support team. Ensure more complex student issues are escalated further where appropriate.
- Responsible for undergraduate and postgraduate coursework thesis support including the organisation of submissions and seminars.
- Manage the organisation of online, distance and supplementary exams as required.
- Establish and maintain high level communication and administration in regard to the Learning Management System (LMS) to support the School's TELT activities.
- Liaise with the Academic Learning and Teaching Coordinators in Schools and industry partners to administer conferral of student prizes and arrange awards events as required.
- Process casual salary claims for casual academics as required.
- Support ad hoc needs of the School including coordinating block courses, arranging guest lectures and managing scholarships and MOU arrangements with other Universities.
- Provide back-up support for administrative duties undertaken by the Teaching Support Team.
- Ensure compliance with regard to confidentiality and ethical practices and ensure privacy is maintained in carrying out day-to-day operations.

- Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.
LEVEL 6:
(In addition to the above)
- Higher level oversight and management of processes relating to timetabling, class management, academic information system updates, the myExperience surveys, and examinations.
- Apply, interpret and advise on policies, systems, manuals, rules, procedures and guidelines relevant to Teaching Support activities across the School
- Act as the coordinator for relevant complex processes that involve cooperation between the School and other administrative units.
- Contribute to a culture of continuous improvement, evaluating existing process, procedures and protocols, to identify opportunities for improvement and implement any approved changes.

LEVEL 5:
- A relevant degree or equivalent tertiary qualification and relevant administrative and customer service experience in a tertiary organisation (or equivalent level of knowledge gained through any other combination of education, training and/or experience).
- Highly developed organisational skills including the ability to prioritise, manage complex tasks and projects and meet competing deadlines whilst maintaining accuracy and attention to detail.
- Excellent interpersonal and communication skills with a demonstrated ability to liaise with and clearly convey ideas to a wide range of internal and external stakeholders from various backgrounds.
- Demonstrated ability to apply knowledge and experience to analyse and resolve sensitive issues efficiently and effectively.
- Demonstrated ability to apply, interpret, advise on and contribute to the development of policies, systems, manuals, rules, procedures and guidelines.
- Demonstrated commitment to continuous improvement and innovation in an administrative environment.
- Experience with coordinating and providing administrative support regarding teaching workloads for Academic staff.
- Proven ability to work as part of a team but take initiative and responsibility for own areas of work
- High level proficiency in standard Microsoft applications and demonstrated ability to learn and implement and promote new systems. Experience using a student management system would be highly regarded.

Ability to work independently with minimal supervision and work productively as part of a team
Significant relevant experience in a similar role in a tertiary organisation.
High level ability to apply knowledge and draw on significant experience to analyse and resolve complex and sensitive issues efficiently and effectively.
Substantial experience in providing a broad range of teaching administration support and specialist advice to Academic staff.
