Kingsford Legal Centre is a community legal centre as well as a centre for clinical legal education of Law & Justice students. The Centre provides free legal advice, casework and community legal education to over 1,500 local community members each year.

The Administrative Assistant (Front Desk) will manage the Kingsford Legal Centre’s front office space and assist in various administrative activities including data entry and collection, managing appointment systems, referral and resource collections. The position will also supervise students workin on administrative tasks at the Centre.

The role of Administrative Assistant (Front Desk) will work closely with the Kingsford Legal Centre Manager, Denise Wasley.



Accountabilities:

  • Coordinate and manage the Centre’s front office reception area including managing the client appointment diary, maintaining the client database (CLASS), training and supervising students and volunteers on reception work; and staffing the reception.
  • Act as a first point of contact for client, community and student enquiries made via email, phone, teams or in person and provide timely and accurate correspondence, and escalate enquiries where necessary;
  • Conduct student and staff inductions on administrative procedures of the Centre and respond to their general enquiries.
  • Order and maintain the Centre’s office equipment, stationery and kitchen supplies.
  • Manage calendars and room bookings for staff, students and visitors.
  • Maintain relevant administrative systems for the Centre’s volunteer program including rosters, information dissemination and management of records.
  • Maintain and update the Centre’s referral systems including non-legal community referrals, private solicitor referrals and free legal assistance services, and develop relationships with relevant referral stakeholders to ensure their contact information is correct and up to date.
  • Under the supervision of the Principal Solicitor and Office Manager, coordinate and maintain the Centre’s archive systems of both client and non-client files and material ensuring that we comply with requirements under Professional Indemnity Insurance obligations.

 

 

Skills and Experience: 

  • Relevant administrative and/or receptionist experience or an equivalent level of knowledge gained through any other combination of education, training and/or experience.
  • Demonstrated ability to work with minimal supervision in a busy environment and exercise initiative to provide quality customer service to a range of stakeholders.
  • Good oral and written communications skills, and strong interpersonal skills with a proven ability to liaise with different networks.
  • Demonstrated capacity to work as part of a team.
  • Good Microsoft suite skills and experience in using Teams and Outlook as a primary form of communication and demonstrated ability to learn new applications and systems
  • Experience in working with people from marginalised communities and clients such as from a CALD and/or ATSI background.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
