The Study Abroad and Exchange team is an integral part of Division of External Relations, working to enhance the student experience and increase the diversity of UNSW’s student cohort through a number of benchmark inbound student mobility Exchange programs including Study Abroad, Student Exchange and Study Abroad Research Practicum.

In addition, Study Abroad and Exchange coordinates and supports outbound global education programs including Student Exchange and Short Program options including international study tours, short courses, internships and volunteering programs which contribute greatly to UNSW’s Strategic objective to ‘develop globally focused graduates who are rigorous scholars, capable of leadership and professional practice in an international community’. This contributes to the UNSW agenda of ‘global education for all’, thus contributing to the University’s standing in international ranking measures.

The Opportunity

The Receptionist - Study Abroad and Exchange Advisor assists with the promotion, administration and growth of the Study Abroad and Exchange Programs by providing advice and support to students and staff from both UNSW and partner institutions.

About the Successful Applicant

  • Provide a welcoming environment for students and visitors in the Study Abroad and Exchange Office with a focus on excellence in customer service.
  • Coordinate the daily operations of the Study Abroad and Exchange Office.
  • Provide administrative and reception duties associated with Study Abroad and Exchange including efficient management of front desk reception and telephone enquiries, and shared Study Abroad and Exchange emails, referring to the appropriate person when required.
  • Provide routine advice to students, staff and visitors on the full range of global education opportunities available to them at UNSW.
  • Monitor and report student enquiry numbers and types of enquiries and review current strategies regarding student services to identify ways in which those services can be improved to ensure the customer service of the Study Abroad and Exchange is of the highest standard.
  • Monitor the appointment system to ensure that students do not have excessive wait times and that appropriate time is allocated for the appointments with Advisors and shift additional resources if needed to front of house.
  • Provide reporting data on the Q-Flow system via tracking of number of enquiries, wait times and types of enquiries.
  • Monitor and re-stock stationary, promotional material, resource materials and liaise with relevant staff for resources. Update material on the centre’s digital devices including video display and computers.
  • Documentation including recording daily incoming and outgoing mail, freight and dispatch of couriers on behalf of Study Abroad and Exchange team.
  • Assist with administration of Outbound Short Programs and Practicum portfolio including data collation and reporting for university and government reporting
  • Assist with the publication of outbound programs promotion (through the Global News website) and social media campaigns.
  • Assist with the organisation of student events and activities including liaising with staff, booking venues, and arranging catering as and when required.
  • Other relevant duties assigned by the Associate Director, Outbound Short Programs and Practicum.
  • Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that their actions or omissions do not impact on the health and safety of others in the university.

Selection Criteria

  • Tertiary qualification or an equivalent level of knowledge gained through any other combination of education, training and/or experience.
  • Demonstrated communication skills (verbal and written) and interpersonal skills in a cross-cultural environment.
  • Demonstrated administrative experience and excellent time management skills to determine own work priorities whilst working in a fast-moving environment.
  • Demonstrated customer service skills in a busy environment.
  • Demonstrated problem-solving skills.
  • Demonstrated ability to work independently and within a team environment.
  • Demonstrated proficiency in the use of a range of software packages including MS Office, Peoplesoft, email and internet-based systems.
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
