The Division of External Relations, led by the Vice-President (Division of External Relations), is responsible for Global Partnerships, Global Profile & Reputation, Future Student Recruitment and Service Excellence (across these functions). 

The Service Excellence Unit, led by the Director Operations is responsible for ensuring that Faculty and Divisional teams are supported appropriately and that the External Relations Division delivers on its service promise and commitment to customer excellence, both internal and external. The Unit also oversees the management of administration for the Division, ensuring sound budget management, project governance, service standards and effective staff development. 

The Opportunity

  • 12-month fixed term contract
  • Located at Kensington Campus
  • $91,755 - $99,306 + 9.5% super + annual leave loading 

Reporting to and supporting the Executive Officer, External Relations this newly established position will provide high- level project and administrative support across multiple projects.  Specific responsibilities include:

  • Collaboration with key stakeholders to monitor and evaluate Division performance with a focus on improving customer experience and service delivery
  • Program coordination and planning: define scope, engaging relevant stakeholders, monitoring progress and outcomes to ensure timely delivery
  • Developing and supporting reporting requirements in collaboration with the Vice President, External Relations and Faculty Deans, researching and preparation of information for approved programs
  • Coordinating research and input from the wider leadership team for the annual and mid-year review process with the Executive Officer to meet the milestones and governance expectations
  • In collaboration, coordinate implementation schedules to track activities to milestones, understand risks and business readiness
  • Significant internal and external stakeholder liaison and relationship management
  • Support the Executive Officer to plan and coordinate meetings and committees, and other professional secretariat services including compiling agendas, preparing minutes and following up on meeting tasks

 About the Successful Applicant

You can demonstrate your successful project administration and support experience. Specific criteria include:

  • A degree with substantial relevant experience or an equivalent level of knowledge gained through any other combination of education, training and/or experience
  • Proven success coordinating change/transition activities and projects in a complex business environment.
  • Strong interpersonal and negotiations skills including the ability to liaise effectively with a diverse group of stakeholders and build strong relationships to achieve objectives
  • Excellent verbal and written communication skills including strong report writing and documentation skills and ability to present complex material effectively to a wide range of audiences
  • Sound judgement and ability to exercise initiative, tact and discretion in dealing with sensitive and confidential matters
  • Proven ability to engage with and work closely with members of a Senior Leadership Team
  • Advanced level of computer literacy with excellent skills in Microsoft Office applications (specifically PowerPoint and Excel)
